Administrative Assistant


Part-time (12 hours per week). In this role, you will:

 

1.      Use Microsoft Software as well as other identified software to prepare monthly church newsletter, weekly announcement or sermon related information (overhead projector), flyers and weekly church and children bulletins.

2.      Compose or transcribe correspondence for pastoral staff.

3.      Keep accurate church records, including church attendance, membership journal, baptism, marriage, newsletters and special mailing lists.

4.      Make phone calls as directed by the pastoral staff. Screen, direct incoming phone calls, take messages and distribute to appropriate person in a timely manner.

5.      Order and maintain office and administrative supplies to include postage stamps, worship bulletins and subscription services.

6.      Prepare and maintain annual reports for the Pastor.

7.      Maintain a master calendar of events, updating church calendar, worship participants, Sunday volunteers, flower calendar, etc at beginning of year and as appropriate throughout the year.

8.      Arrange committee or team meetings as requested by the Pastor.

9.      Maintain updated list of hospitalized church members and shut-ins for church bulletin and communicate this information to the pastoral staff, Visitation Team and Prayer Team accordingly.

10.  Open incoming mail and distribute to mailboxes of appropriate person(s).

11.  Work with various volunteers to organize mailings, newsletter preparation & mailing, folding & stuffing bulletins and other communication materials as may be identified.

12.  Ensure church correspondence and newsletters are mailed in a timely manner.

13.  File church correspondence, reports, newsletters and office equipment maintenance contracts.

14.  Keep bulletin boards around the church buildings updated as well as various flyers and event signage up to date.

 

To be considered for this position you must have advanced skills in MS Office, have the ability to handle confidential information, possess a professional and pleasant demeanor and be dependable.
